This notice covers applicants, waiting-list subscribers, beta participants and managers whose work contact details are supplied. We obtain application information from you. Participation records come from programme administration and the relevant BillsspliT activity records. Manager information comes from the applicant and, if contacted, the manager. Technical information comes from the systems identified below.
Your optional answer about what extra income would help with is not an invitation to provide medical records, identity documents or other sensitive details. Please do not include unnecessary information about yourself or anyone else.
3. Your choice to provide information
Applying is voluntary. Fields marked required are needed to assess or administer the application; leaving them blank may prevent submission or a decision. This is a programme requirement, not a claim that the law requires you to apply or answer the form.
Optional fields may be left blank. Declining optional marketing or manager contact does not by itself disqualify you. Payment details are not collected on the initial application form. If selected, we will explain which details are necessary for the agreed payment method.
4. Grounds for using your information
We use necessary application and participation information to take the steps you request towards joining the beta and to carry out the agreed programme. We use proportionate security and verification records to protect the programme and address disputes, and keep records where a legal obligation requires this. Optional promotional messages rely on your separate consent.
You may withdraw consent where processing relies on it. That does not undo earlier lawful processing or erase records retained on another valid ground. Protection of Personal Information Act, section 11.
5. Application messages and optional marketing
Application confirmations, questions needed for review, activation instructions, reward queries and payment updates are programme administration messages. They are not permission to send unrelated promotions.
We send future Waiter Crew opportunity messages only if you choose that option. Reply STOP or contact advertising@billssplit.com to withdraw. Opting out of marketing does not cancel an application or earned rewards. If you want to withdraw your application as well, tell us explicitly.
We will not add you to a WhatsApp group that exposes your number to other members without asking you separately. Applying does not give us permission to use your name, photograph or story in an advert.
For information about unwanted electronic marketing, see the Information Regulator’s POPIA guidance.
6. Who receives information?
Authorised programme staff receive the information needed for application review, training, verification, support and payment.
The following provider details must reflect the live service:
| Service | Provider and information involved |
|---|---|
| Site hosting, forms and application storage | TO BE CONFIRMED — PROVIDER / RELEVANT DATA / PURPOSE |
| WhatsApp or email communication | TO BE CONFIRMED — PROVIDER / CONTACT DETAILS AND MESSAGE CONTENT |
| Opener printing and handover | TO BE CONFIRMED — PROVIDER / PRINTED NAME AND NECESSARY DELIVERY DETAILS |
| Reward payments | TO BE CONFIRMED — PROVIDER / NECESSARY PAYMENT AND TRANSACTION DETAILS |
| Analytics or video hosting, if used | TO BE CONFIRMED — PROVIDER / DATA / PURPOSE / PRIVACY LINK |
Printing an opener does not require the printer to receive your full application. Similarly, a delivery provider should receive handover details rather than your motivation answers or reward history.
We do not sell application records or provide applicant lists to advertisers. We may share relevant records with professional advisers or authorities where necessary for a lawful obligation or dispute. These are not permissions for unrelated marketing.
7. Manager details
If you supply your manager’s work contact details, first tell them that you are doing so and that BillsspliT may contact them about your application. Do not supply their private identity documents or banking details.
We identify the applicant as the source, explain the enquiry and provide this notice when contacting a manager. Managers may ask us to correct their details or stop optional contact. An applicant’s checkbox does not replace the manager’s own privacy rights.
8. Storage locations and information outside South Africa
Application records are stored with TO BE CONFIRMED — PROVIDER in TO BE CONFIRMED — COUNTRY/REGION. Messaging, payment, video or support services may also process the stated information in TO BE CONFIRMED — LOCATIONS. The applicable transfer protection is TO BE CONFIRMED — ACTUAL AGREEMENT, PROTECTION OR OTHER PERMITTED BASIS.
We explain relevant foreign processing and ensure a permitted transfer basis before using it. Protection of Personal Information Act, sections 18 and 72.
9. Cookies, analytics and video
The site uses TO BE CONFIRMED — ACTUAL ESSENTIAL STORAGE/COOKIES for TO BE CONFIRMED — PURPOSE for TO BE CONFIRMED — DURATION. TO BE CONFIRMED — IDENTIFY ANY OPTIONAL ANALYTICS, ADVERTISING OR EMBEDDED-VIDEO TECHNOLOGY, ITS DATA, PROVIDER, DURATION AND AVAILABLE CONTROLS; OR STATE NONE AFTER CHECKING.
The final notice must describe what runs on the Waiter Crew site. Tracking used on the diner app does not automatically run here. Our proposed site design keeps names, phone numbers, free-text answers and manager details out of analytics events and advertising audiences.
10. How long records are kept
| Record group | Retention period and starting point |
|---|---|
| Unfinished applications | TO BE CONFIRMED — PERIOD AFTER LAST ACTIVITY |
| Unsuccessful applications | TO BE CONFIRMED — PERIOD AFTER SELECTION CLOSES |
| Participant and qualifying-activity records | TO BE CONFIRMED — PERIOD AFTER PARTICIPATION ENDS |
| Payment records | TO BE CONFIRMED — APPLICABLE RECORDKEEPING PERIOD AND BASIS |

| Minimal opt-out and dispute records | TO BE CONFIRMED — PERIOD AND SPECIFIC REASON |
| Backups | TO BE CONFIRMED — DELETION/EXPIRY CYCLE |
We delete or de-identify records when their justified retention ends. A dispute or legal requirement may justify retaining relevant records longer. Protection of Personal Information Act, section 14.
11. Protection and security incidents
Our safeguards include TO BE CONFIRMED — VERIFIED ACCESS CONTROLS, STAFF ACCESS RULES, SECURE TRANSFER/STORAGE ARRANGEMENTS AND PROVIDER CONTROLS. No online system is risk-free. Report a suspected issue to advertising@billssplit.com. We will investigate and make legally required notifications. Protection of Personal Information Act, sections 19–22.
12. Eligibility checks and review
The form checks your answers against the stated age, employment, phone-access and availability requirements. You can correct an answer or contact support if you believe a check is wrong. Final selection and disputed reward decisions receive human review. We do not use a hidden automated earnings or credit score to decide your application.
13. Your information rights
You may request access, correction or deletion, object to processing where applicable, or withdraw consent. Legal limits may apply. Contact advertising@billssplit.com; we may verify identity and will explain any lawful refusal or required retention. Protection of Personal Information Act, sections 11 and 23–25.
You can complain directly to the Information Regulator; you need not wait for our permission. Its complaints page explains the current submission process. General enquiries: enquiries@inforegulator.org.za; telephone 010 023 5200.
14. Applicants under 18
This programme is for adults. Please do not apply or join the waiting list if you are under 18. If we discover an underage submission, we stop its processing for recruitment and arrange appropriate deletion, retaining only what is necessary for a lawful purpose. Contact us if an underage person has supplied information.
15. Notice changes
We show the version and effective date above. If we materially change how this programme uses your information, we will explain the change and obtain any new permission required. Posting a new notice does not, by itself, authorise an unrelated use of existing application information.
